Register with ZUS (Social Insurance)

ZUS registration is mandatory for all employed and self-employed persons. Employers register employees within 7 days of employment start. Self-employed (JDG) must register themselves within 7 days of starting business activity. ZUS manages pension, disability, sickness, and accident insurance contributions.

Open a Polish bank account

A Polish bank account (konto osobiste) is essential for receiving salary, paying rent, utility bills, and using Blik. Most Polish employers require a Polish IBAN for salary payment. Most banks require PESEL to open an account.

Obtain your PESEL number

PESEL (Powszechny Elektroniczny System Ewidencji Ludności) is the universal 11-digit personal identification number used for all official purposes in Poland — healthcare, banking, taxes, social benefits, driving, and government services. EU citizens can request PESEL at the Urząd Gminy by showing passport/ID and proof of residence. Non-EU citizens receive PESEL when Karta Pobytu is issued.

Update your zameldowanie when you move (30 days)

Whenever you change address in Poland you must register the new address (zameldowanie na pobyt stały or czasowy) at the latest by the 30th day after moving in — for third-country nationals the deadline is 4 days if the stay exceeds 30 days. You can deregister from the old address in the same procedure, and the whole process can be done online through the gov.pl e-service with a trusted profile (profil zaufany) or e-ID. You may hold one permanent and one temporary registration at different addresses at the same time.

Register with NFZ (National Health Fund)

NFZ registration gives you access to the public healthcare system — GP, specialists, hospital care, and reimbursed prescriptions. Employed workers are enrolled automatically via employer's ZUS registration. Self-employed must register with ZUS and pay health contributions. If not employed: voluntary NFZ registration is possible.

Register your address (Zameldowanie)

You must register your place of residence (zameldowanie — meldunek) within 30 days of taking up residence in Poland. Registration (zameldowanie na pobyt stały for permanent, or na pobyt tymczasowy for stays under 3 months) is required to obtain PESEL, access healthcare, enrol children in school, and complete most official processes.

Register with your local Urząd Skarbowy (Tax Office)

As a Polish tax resident, confirm your registration at the appropriate Urząd Skarbowy. For employees, your employer handles most tax obligations. Self-employed and freelancers must register themselves. Confirm your tax residency status within the first months.

File your annual Polish tax return (e-PIT)

Every Polish tax resident must file an annual PIT return by April 30. E-PIT at podatki.gov.pl pre-fills your return based on employer data. If you do not modify and submit it, it is auto-accepted on April 30. Self-employed file PIT-36 or PIT-36L manually.

Find and rent an apartment

Finding accommodation is the first priority. The Warsaw and Kraków rental markets are competitive. You typically need: PESEL, proof of income (employment contract or payslips), and a deposit of 1–3 months rent. Landlord consent for zameldowanie (address registration) is important to confirm.

Renew karta pobytu (residence card) before expiry at Urząd Wojewódzki

Temporary residence cards valid 1–3 years. Apply for renewal 3 months before expiry at Urząd Wojewódzki. Late renewal: loss of legal status. 2026 fee: PLN 340 card fee. Processing: 2–4 months — apply early.

Get mandatory car insurance (OC)

Third-party liability car insurance (OC — Odpowiedzialność Cywilna) is mandatory for all registered vehicles in Poland. Driving without OC: UFG fine up to 9,610 zł (2026). Must be in place before driving any vehicle.

Register at the Employment Office (PUP) if job seeking

Register as a job seeker to access job listings, career counselling, retraining courses, Polish language courses, and potentially zasiłek dla bezrobotnych (unemployment benefit) if previously employed in Poland.

Create a Profil Zaufany (Trusted Profile)

Profil Zaufany is the secure authentication method for all Polish e-government services (ePUAP, ZUS, Urząd Skarbowy, e-PIT, NFZ, CEIDG). Required to access ZUS PUE, file taxes online, manage business registration, apply for permits, and use most gov.pl services. Essential for all digital interactions with Polish government.

Register with a GP/Primary Care clinic (POZ)

Once you have NFZ coverage, register your deklaracja wyboru lekarza POZ (GP selection declaration) at a nearby public or private NFZ-contracted clinic. Your registered GP is the entry point to all specialist care and prescriptions in the public system.

Register your pet with a Polish vet

Find a local veterinarian and update your pet's microchip registration to your Polish address. Check if your local gmina requires dog registration (some impose a local dog tax). Ensure your pet's EU or international passport is updated with Polish vet details.

Apply for 800+ child benefit (Świadczenie Wychowawcze)

Poland's universal child benefit pays 800 zł/month per child under 18 — no means test, no income limit. Apply within 3 months of arrival or birth to receive payment backdated to date of entitlement. Submit via ZUS PUE or mObywatel app.

Get official documents translated by a sworn translator (tłumacz przysięgły)

Polish authorities only accept translations of foreign documents (birth and marriage certificates, diplomas, driving licences, court papers) made by a tłumacz przysięgły — a sworn translator entered in the official register of the Ministry of Justice. The public register lists each translator with their authorisation number, languages and address, and shows whether they have been suspended or removed, so you can verify anyone before paying.

Apostille documents at the Ministry of Foreign Affairs (MSZ)

Polish public documents going abroad need an apostille issued by the Ministry of Foreign Affairs (MSZ) at ul. Krucza 38/42 in Warsaw. The fee is 60 zł per document, and you can apply in person, through a third party or by post. Only originals bearing an official seal and the signature and personal stamp of an authorised official can be apostilled — photocopies are not accepted. Foreign documents you bring to Poland must be apostilled by the issuing country before Polish authorities accept them.

Set up Blik in your banking app

Blik is Poland's dominant instant payment system. Generates a 6-digit code from your banking app, valid for 2 minutes. Used at shop tills, online shopping, ATMs (card-free withdrawal), and peer-to-peer transfers. Accepted virtually everywhere in Poland.

Get a Polish SIM card

A Polish phone number is required for bank account opening (SMS verification), Blik payments, government portals (Profil Zaufany), deliveries, and most app registrations.

Register for InPost Paczkomat account

InPost Paczkomaty (parcel lockers) are ubiquitous in Poland — over 25,000 locations. Most Polish online shopping defaults to paczkomat delivery. Register to receive parcels 24/7 at a locker near you.

Get a Warszawska Karta Miejska transit card and set up BLIK for payments

In Warsaw, get the Warszawska Karta Miejska (WKM) for buses and metro. Other cities: Krakow KMK, Wroclaw URBANCARD. Monthly pass from ~PLN 110 (~€25). Register for BLIK (Polish contactless payment system) via any Polish bank app — used everywhere including markets and taxis. Main supermarkets: Biedronka, Lidl, Rossmann, Żabka convenience stores. Waste sorting: yellow (plastic/metal), blue (paper), green (glass), brown (organic), mixed (grey).

Download and set up the mObywatel app

mObywatel is the official Polish government app providing a digital ID, access to government services, 800+ child benefit management, e-prescription codes, NFZ status, and more. For Polish nationals it is a legal substitute for a physical ID card in most situations. Expats can use it for PESEL-based government services.

Create Allegro account and subscribe to Smart!

Allegro is Poland's dominant e-commerce marketplace (like Amazon for Poland). An Allegro account with Smart! subscription (annual fee ~49 zł) gives free delivery on most products, which pays for itself quickly.

Apply for 800+ child benefit through your ZUS account or Urząd Gminy

Poland's flagship 800+ (previously 500+) program provides PLN 800/month (~€180) per child under 18, regardless of income. Applies to all legal residents with children. Apply online via ZUS online portal (PUE ZUS) or the mObywatel app. Benefits start from the month of application. Non-Polish EU/EEA citizens working in Poland are eligible; non-EU citizens need 1+ year of continuous legal residence.

Claim becikowe (birth one-off payment) and Kosiniakowe (parental benefit)

Poland provides a one-time becikowe payment of PLN 1,000 per newborn (income-tested: household income below PLN 1,922/month net per person). Kosiniakowe is a 12-month parental benefit (PLN 1,000/month) for parents who are not entitled to standard maternity pay from ZUS (e.g., unemployed, students). Apply at MOPS (Social Welfare Centre) within 12 months of birth.

Do an annual January financial check

Every January 1, key financial figures change in Poland: minimum wage, ZUS contribution bases, benefit rates, and sometimes tax thresholds. A brief annual review prevents payslip surprises and ensures you are claiming all available benefits.

Request your free annual credit report from BIK

Polish residents can request a free copy of their BIK credit report once per year under GDPR. BIK holds records of all bank loans, credit cards, and payment history. A negative BIK entry can block mortgage applications, phone contracts, and rental approvals.

Consider a private healthcare subscription (abonament medyczny)

NFZ public healthcare has long waiting times for specialists. A private health subscription (LUX MED or Medicover, 100–300 zł/month) gives unlimited GP and specialist visits within days, English-speaking doctors, and better service quality. Extremely popular among employed expats.

Get home contents insurance (Ubezpieczenie mieszkania)

Contents insurance covers your belongings against theft, fire, flooding, and damage. Very affordable in Poland (200–600 zł/year). Landlords often require it. Also consider adding OC w życiu prywatnym (personal liability) rider — cheap and very useful.

Start learning Polish

Polish is required for permanent residence (B1 level) and naturalisation. Even A1–A2 Polish makes daily life significantly easier and is deeply appreciated by Polish people. Start as soon as possible — Polish grammar is complex and requires consistent practice.

Set a PESEL block (Zastrzeżenie PESEL) to prevent identity fraud

You can block your PESEL from being used by others to take loans or sign contracts in your name. A "zastrzeżenie PESEL" prevents financial institutions from accepting your PESEL for new credit without you being physically present to lift the block. Strongly recommended after obtaining PESEL.

Register your dog with the local municipality and get microchip certification

Polish municipalities increasingly require dog registration and may charge an annual dog tax (podatek od posiadania psów): PLN 125.82/year maximum (set by councils). All dogs should be microchipped — not nationally mandatory by law (as of 2026) but required in many cities and for EU travel. EU pet passport required for animals arriving from abroad. Veterinary services for chip: ~PLN 50–80.

Register with your home country's embassy

Most countries recommend registering with your embassy in Warsaw. This ensures you receive emergency consular assistance, voting information, and official notifications. Some countries require it.

Get ZTM Warsaw commuter card or Kraków/Wrocław transit pass

Warsaw ZTM 30-day all-zones pass: PLN 119/month (2026). Annual pass PLN 1,428 (saves 2 months). Kraków KMK: PLN 99/month. Wrocław MPK: PLN 95/month. Purchase at kiosks or apps.
