The most expensive and common mistakes expats make in Poland — and exactly how to avoid them.
No PESEL = blocked from almost everything
PESEL is the universal identifier in Poland. Without it: no Polish bank account, no NFZ healthcare registration, no Profil Zaufany, no salary via Polish payroll, and no access to government digital services. It is the most important first task.
⚡ Complete block on banking, healthcare access, tax registration, and most official processes.
📅 Deadline: Obtain within 14 days of arrival
✅ Go to your local Urząd Gminy/Dzielnicy with your passport and rental contract. Do zameldowanie and request PESEL simultaneously. PESEL usually issued same day.
Urząd Wojewódzki appointment waits for non-EU — start immediately
In Warsaw and Kraków, appointments at Urząd Wojewódzki for Karta Pobytu (residence card) can take 2–6 months to obtain. If you arrive on a national visa (D) and wait too long to apply, you may risk having your visa expire before you can even submit the Karta Pobytu application.
⚡ Risk of illegal status if visa expires while waiting for an appointment. Potential deportation and re-entry ban.
📅 Deadline: Book appointment the week you arrive
✅ Go to the Urząd Wojewódzki website for your voivodeship and book an appointment immediately on arrival. While waiting for the appointment, your D visa is valid. Prepare all documents in advance so your application is complete on the first visit.
Landlord refusing zameldowanie blocks PESEL and official processes
Some Polish landlords refuse to allow tenants to register their address (zameldowanie) at the property, fearing tax implications or complications. Without zameldowanie, obtaining PESEL is much harder and many official processes are blocked.
⚡ Cannot get PESEL. Delayed access to banking, healthcare, school enrolment, and all government services.
✅ Before signing any rental contract, confirm in writing that the landlord will allow zameldowanie. Include this as a clause in the rental agreement. If landlord refuses without good reason, find a different property or seek legal advice — zameldowanie is your legal right as a resident.
Blik "friend" scam — instant and irreversible
Scammers hack Facebook/WhatsApp accounts and send urgent messages to contacts asking for a Blik code for an "emergency." Once a Blik code is entered at an ATM or online payment, money is gone within seconds. This is the #1 financial scam in Poland.
⚡ Immediate and complete loss of money — typically 500–5,000 zł. No chargeback or reversal possible.
✅ Never give a Blik code to anyone. If a friend or family member asks for a Blik code via social media — call them on their actual phone number first. Blik is for your own payments only, not for transferring money to others (use bank transfer for that).
Overstaying your visa or permit is a criminal offence
Non-EU citizens who overstay their visa (D or C) or whose Karta Pobytu has expired face deportation, re-entry bans, and criminal proceedings. Urgency cannot be overemphasised — appointment backlogs at Urząd Wojewódzki make early action essential.
⚡ Deportation. Re-entry ban of 3–5 years. Criminal record.
📅 Deadline: Apply for Karta Pobytu 3 months before current document expires
✅ Book Urząd Wojewódzki appointment immediately on arrival. Track expiry dates obsessively. While application is pending with complete submission before expiry, you are legally protected — get a stamp/confirmation of pending application.
Only 21 days to challenge an unfair dismissal
If you are dismissed and believe it is unfair or illegal (particularly for protected characteristics, during pregnancy, illness, or without proper grounds), you have exactly 21 calendar days from receiving the written dismissal to file an appeal (odwołanie) at the Sąd Pracy (Labour Court). Missing this deadline means the dismissal becomes final regardless of legality.
⚡ Dismissal becomes legally final. No right to reinstatement or compensation.
📅 Deadline: 21 calendar days from receipt of written dismissal
✅ Contact a labour lawyer (prawnik pracy) immediately upon receiving dismissal notice. The 21-day deadline runs from the day you receive the written notice — weekends and holidays count. Even if you intend to negotiate, file the claim first.
Fake apartment listings — never pay before viewing
Scammers on OLX, Facebook Marketplace, and sometimes OtoDom post attractive apartments at below-market prices, claiming to be abroad and requesting a deposit by bank transfer before any viewing. This is always a scam.
⚡ Loss of deposit (typically 2,000–5,000 zł). No apartment. Identity theft if document copies were sent.
✅ Never pay any money before viewing an apartment in person and meeting the actual landlord. Verify ownership via Księga Wieczysta (ekw.ms.gov.pl — free check). Red flags: landlord abroad, price too low, pressure to pay immediately, refuses video call.
Ignoring a court letter triggers automatic deadlines
Official letters from courts (nakaz zapłaty — payment order), tax office (wezwanie), and Urząd Wojewódzki are sent by registered post (list polecony). If uncollected from Poczta Polska, a reminder is left. Polish law deems correspondence "delivered" after two failed delivery attempts — deadlines (typically 14 days to respond) then run from this deemed delivery date.
⚡ Enforceable court orders. Wage garnishment. Tax assessments. Immigration status consequences.
✅ Check your physical letterbox daily. Collect all registered letters immediately. Respond to every nakaz zapłaty within 14 days via sprzeciw (objection). Do not confuse InPost notifications with Poczta Polska polecony — they are different.
Euronet ATMs charge high fees — avoid them
Euronet ATMs (bright orange, found in tourist areas, shopping malls, train stations) are private ATMs that charge 5–10 zł per withdrawal plus often offer Dynamic Currency Conversion (DCC). Many tourists and expats use them unknowingly.
⚡ Extra fees of 5–10 zł per withdrawal. DCC conversion at poor rates adds further loss.
✅ Use bank ATMs (PKO BP, Pekao, ING, Santander — widely distributed). Alternatively, use Blik for card-free ATM withdrawals from any compatible ATM at zero cost. When a terminal asks "pay in PLN or [your currency]" — always choose PLN.
Almost all shops closed on most Sundays
Poland's zakaz handlu (Sunday trading ban) means that large supermarkets, most retail, and non-essential shops are closed on most Sundays. This surprises virtually every new arrival. Only Żabka, petrol stations, bakeries, pharmacies, and some small owner-operated shops can open.
⚡ No groceries on Sunday. Forced to pay premium prices at Żabka or petrol stations.
✅ Stock up on Saturday. Know which Sundays are exceptions (pre-holiday Sundays before Christmas, Easter — check annual list). Note: Żabka is everywhere and open on Sundays.
NFZ specialist waiting times can be 6–18 months
While basic GP care via NFZ is accessible relatively quickly, specialist appointments (dermatology, cardiology, orthopaedics, psychiatry) often have wait times of 6–18 months in the public system. Many expats are caught off guard when they need specialist care.
⚡ No timely access to specialist care without paying private fees.
✅ Get a private healthcare subscription (LUX MED or Medicover, 100–300 zł/month) for fast specialist access. Ask if your employer provides a medical package. For urgent conditions, use the "pilny" (urgent) referral pathway from your GP.
B1 Polish required for permanent residence — start learning now
Permanent residence (stały pobyt) and EU long-term resident status require B1 Polish language proficiency, confirmed by a state certificate (certyfikat znajomości języka polskiego). Many expats discover this requirement late and have to delay applications.
⚡ Cannot apply for permanent residence without B1 certificate. Polish state exam required — preparation takes months.
📅 Deadline: Start Polish B1 preparation at least 12 months before planned application
✅ Start Polish lessons from arrival. A1–A2 in year 1, B1 by year 3. Register for the state exam (egzamin certyfikatowy) at certyfikatpolski.pl. Exam held twice per year. Plan exam timing to align with your permanent residence application timeline.
PPK automatic re-enrollment every 4 years — check and opt out if needed
PPK (Employee Capital Plans) automatically re-enrolls employees who previously opted out every 4 years (in January). If you do not want to participate, you must opt out again within 2 months. The first re-enrollment wave was January 2026 for those who opted out in January 2022.
⚡ 2% of gross salary deducted for PPK contributions if you miss the opt-out window.
📅 Deadline: Check in January — opt out by March 1 if not wanted
✅ Check your January payslip each year for new PPK deductions. If you previously opted out, re-submit the opt-out form (rezygnacja z PPK) to your employer. Note: PPK has genuine benefits (employer 1.5% match + state bonus) — consider keeping it before opting out.
183 days = Polish tax resident — worldwide income taxed
Anyone who spends more than 183 days in Poland per year becomes a Polish tax resident and must declare all worldwide income (employment, investments, rental from abroad, etc.) to the Polish Urząd Skarbowy. Many expats (especially remote workers and digital nomads) are unaware of this.
⚡ Undeclared foreign income triggers tax assessment, interest, and penalties.
✅ Track days carefully if you are close to the 183-day limit. Declare all income on your annual PIT return. If you have income from multiple countries, consult a Polish doradca podatkowy (tax advisor) to navigate double taxation treaties.
L4 sick certificate required from day 1 of illness
To use sick leave in Poland, you need an L4 (zwolnienie lekarskie — medical sick leave certificate) issued by a doctor. Electronic L4 (e-ZLA) is sent directly to your employer and ZUS. Without it, absence may be treated as unauthorised.
⚡ Unauthorised absence. Loss of sick pay. Possible disciplinary proceedings.
✅ Contact your GP or medical service at onset of illness on day 1. Telemedicine (telemedycyna) doctors can issue L4 electronically via video consultation — LUX MED, Medicover, and app-based services offer this. Never just stay home without L4.
PESEL identity fraud — block your PESEL immediately
Polish PESEL is used for all credit and financial applications. Criminals who obtain your PESEL can take out loans and sign contracts in your name. A free zastrzeżenie PESEL (PESEL block) prevents this but is unknown to most expats.
⚡ Loans taken in your name. Credit score damage. Months of legal process to undo.
✅ Set a zastrzeżenie PESEL immediately via the mObywatel app after obtaining PESEL. The block can be temporarily lifted via app when you legitimately need to apply for credit. Banks and financial institutions are legally required to check for PESEL blocks before extending credit.
Poland has some of the EU's worst winter air quality — smog season November–March
Poland consistently ranks among the worst countries in the EU for particulate matter pollution (PM2.5 and PM10), particularly in winter when coal and wood-burning heating creates severe smog events. Kraków, Katowice, Rybnik, Nowy Sącz, and smaller southern cities have days where air quality reaches hazardous levels (AQI 200+). Even Warsaw has significant smog periods. Children, the elderly, and people with asthma or cardiovascular conditions face serious health risk on high-smog days. The smog season runs November through March, peaking during temperature inversions.
⚡ Long-term exposure to PM2.5 above WHO guidelines (prevalent in southern Poland throughout winter) is equivalent in health impact to smoking several cigarettes per day. Outdoor exercise on high-smog days actively increases health risk. Residents with respiratory conditions have required hospitalisation during severe smog episodes.
✅ Install the Airly (airly.org) or AQICN app for real-time local air quality monitoring. On AQI days above 100: avoid outdoor exercise; wear a properly fitted FFP2/N95 mask if outdoors; keep windows closed; run an indoor HEPA air purifier. Subscribe to smog alerts at alerty.pl (active in Kraków and many cities). Consider an air purifier (oczyszczacz powietrza) as essential household equipment in Polish winter.
Non-EU driving licence must be exchanged within 30 days of registering Polish address
Non-EU/EEA driving licence holders (US, Canadian, Australian, UK post-Brexit, etc.) who register zameldowanie (permanent or temporary address) in Poland must exchange their foreign licence for a Polish prawo jazdy within 30 days at the local Wydział Komunikacji (transport department). For most non-EU nationalities, this requires a Polish theory test (egzamin teoretyczny) and practical driving test (egzamin praktyczny), plus a medical examination (badanie lekarskie). Processing time including test preparation: 2–4 months. EU/EEA licence holders exchange directly without retesting.
⚡ Driving on an expired-entitlement foreign licence after the 30-day window: fine PLN 200–500, possible licence confiscation, and insurance invalidity in an accident. Traffic police (Policja drogowa) actively check foreign licences.
📅 Deadline: Within 30 days of zameldowanie registration
✅ Apply at your Wydział Komunikacji within the first week of zameldowanie. Book mandatory tests through WORD (Wojewódzki Ośrodek Ruchu Drogowego) for your voivodeship — waiting times for test slots can be 4–8 weeks. Engage a Polish szkoła jazdy (driving school) for practical test preparation; Polish tests follow specific route and manoeuvre patterns different from most countries. EU licence holders: exchange at Wydział Komunikacji with licence, passport, and proof of Polish address.
Winter tyres are practically essential October–March — insurance may reject accident claims without them
Poland has no statutory mandatory winter tyre law but driving on summer tyres in winter conditions (snow, ice, slush) constitutes driving "without adequate equipment for conditions" under Polish Road Traffic Law. Polish winters bring sustained snowfall and temperatures of -10°C to -25°C in Małopolska, Podkarpacie, Podlaskie, and eastern regions. Major insurers include tyre condition clauses — claims from accidents where summer tyres were a contributing factor may be contested. Border regions with Czechia, Slovakia, and Ukraine see particularly severe winter conditions.
⚡ Insurance claim rejection if summer tyres were a contributory factor in a winter accident. Traffic police citation (PLN 200–500) for driving in conditions requiring winter tyres. Doubled stopping distance on icy roads with summer tyres vs. proper winter tyres creates serious accident risk.
✅ Fit M+S-marked winter tyres (oznaczone M+S lub symbolem gwiazdki śniegowej) by October 31. Tyre shops (Dębica, Sava, Continental — widely available) offer sezonowe przechowywanie (seasonal tyre storage). Mountain areas (Zakopane, Karpaty) require winter tyres from October. Swap back to summer tyres by April 15. All-season tyres are a compromise but less effective than dedicated winter tyres in severe conditions.
Self-employed (JDG): ZUS contributions mandatory every month — mały ZUS available years 1–2
Polish self-employed persons (Jednoosobowa działalność gospodarcza — JDG) must pay monthly ZUS social insurance contributions regardless of actual business income. Standard ZUS (social security + health insurance) in 2026: approximately PLN 1,600–2,100/month. Year 1–2 (and sometimes 3–4 under the "mały ZUS plus" scheme): reduced rate approximately PLN 450–500/month. The składka zdrowotna (health contribution) is calculated as a percentage of actual income from 2022 onwards — creating a variable monthly liability. Missing ZUS payments triggers penalty interest and eventually debt enforcement.
⚡ Unpaid ZUS contributions: penalty interest (11.5%/year in 2026), loss of healthcare coverage under NFZ, and impact on future pension entitlement. A JDG with 12 months of unpaid standard ZUS owes approximately PLN 19,000–25,000 in contributions plus interest.
✅ Register your JDG at CEIDG (biznes.gov.pl) — this automatically notifies ZUS. Apply for mały ZUS (preferencyjne składki ZUS) in your first year: fill in ZUS ZZA/ZUA with the correct deklaration. Set up direct debits (przelew bankowy) to ZUS immediately. File monthly/quarterly ZUS DRA declarations via e-Płatnik (eskladka.zus.pl). Engage a Polish księ gowy (accountant) from month 1 — the ZUS/ZDG/NFZ system is complex.
Minimum wage is 4,806 zł/month gross from January 2026
Poland's statutory minimum wage (minimalne wynagrodzenie za pracę) is 4,806 zł/month gross (31.40 zł/hour) from January 2026 — unchanged throughout 2026 (no mid-year adjustment). Employers cannot pay less regardless of contract terms. This applies to umowa o pracę (employment contracts). Umowa zlecenie: minimum hourly rate (stawka godzinowa) also applies.

✅ If paid below minimum wage, report to PIP (Państwowa Inspekcja Pracy — Labour Inspectorate) at pip.gov.pl. Inspectors investigate and can order back-payment.
e-PIT pre-filled tax return available from February 15, 2026
The Polish government pre-fills PIT-37 tax returns based on employer PIT-11 data. Available from February 15 at podatki.gov.pl. If you do not modify and submit, it is automatically accepted and filed on April 30. Most employed persons get a small refund — check your return before auto-acceptance.
⚡ None — informational. Auto-acceptance may miss deductions you are entitled to.
✅ Log in with Profil Zaufany at podatki.gov.pl from February 15. Review pre-filled data. Add any deductions (donations, IKZE contributions, children's relief) before April 30.
800+ child benefit: 800 zł/month per child — universal and easy to claim
Poland pays 800 zł/month per child under 18 — no income test, no means test. EU citizens and legal residents with work rights qualify. Claim via ZUS PUE or mObywatel app. Backdated 3 months if applied within 3 months of birth or arrival.
⚡ None — informational. Missing this means leaving significant money unclaimed.
✅ Apply immediately at zus.pl — do not delay as backpayment is limited to 3 months.
Pet import to Poland: EU pet passport within EU; titre test required from non-EU countries
Dogs, cats, and ferrets moving within the EU to Poland require a valid EU pet passport with microchip and current rabies vaccination. Dogs additionally require Echinococcus (tapeworm) treatment 1–5 days before entry. From non-EU countries (UK post-Brexit, US, Canada, Australia): rabies vaccination, microchip, EU-approved blood antibody titre test (at least 30 days after vaccination), 3-month waiting period after the titre test, and an official health certificate from a government-accredited vet. Poland's Chief Veterinary Inspector (GIW — wetgiw.gov.pl) oversees entry compliance.
⚡ Pets without compliant documentation face quarantine or refusal of entry with return at owner's expense.
✅ EU arrivals: valid EU pet passport with current rabies vaccination. Dogs from Echinococcus-risk countries: tapeworm treatment 1–5 days before entry. Non-EU arrivals: begin the process 6 months before travel. The titre test must be at an EU-approved laboratory — list available from GIW. Entry through an approved BCP (Border Control Post) only — not all road crossings are authorised for live animals.
No national deposit protection scheme — your kaucja depends entirely on your written contract
Poland has no equivalent of the UK Tenancy Deposit Scheme — landlords hold rental deposits (kaucja) directly, with no mandatory independent custodian. The standard kaucja is 1–2 months' rent. Without a formal written lease registered with the Urząd Skarbowy, your legal position in a dispute is very weak. Okazjonalny (occasional tenancy) contracts give landlords faster eviction powers — read carefully before signing. Move-in condition documentation is crucial since there is no formal inspection regime.
⚡ Lost kaucja (1–2 months rent = PLN 2,000–10,000 in Warsaw) if the landlord disputes damage at tenancy end and no documented move-in condition evidence exists. Polish civil court resolution of tenancy disputes takes 12–24 months.
✅ Insist on a formal umowa najmu lokalu mieszkalnego (residential tenancy agreement). Photograph every room, wall, and defect on moving-in day — email to yourself to create a timestamp. Keep all landlord communications in writing (email or WhatsApp). If your landlord proposes an okazjonalny contract: understand the implications — you waive standard tenancy protections in exchange for usually lower rent. Disputes: UOKiK (uokik.gov.pl) provides tenant guidance.
Poland has 13 public holidays — all government offices and most businesses fully closed
Poland observes 13 public holidays (święta państwowe) in 2026: 1 Jan (Nowy Rok); 6 Jan (Trzech Króli — Epiphany); Easter Monday (6 Apr 2026); 1 May (Święto Pracy); 3 May (Konstytucja 3 Maja); Pentecost Sunday (24 May); Corpus Christi (4 Jun); 15 Aug (Wniebowzięcie NMP); 1 Nov (Wszystkich Świętych); 11 Nov (Dzień Niepodległości); 25–26 Dec (Boże Narodzenie). All government offices, courts, and most businesses are closed. If a holiday falls on Sunday, no substitute day is given. All Saints' Day (1 Nov) is the most significant cultural observance — heavy nationwide travel to cemeteries.
⚡ Missing immigration deadlines, bank transfers, or important appointments because they fall on unrecognised Polish holidays. All Saints' Day causes the worst traffic jams of the year across Poland — travel on 1 Nov should be planned for.
✅ Add all 2026 Polish public holidays to your calendar in January. Factor in the movable feasts (Easter Monday, Corpus Christi) which change date each year. For deadlines falling on a public holiday: submit the day before. All Saints' Day: if travelling anywhere in Poland, build in 2–3 hours of extra time or travel the day before.
