Poland (PL)

The universal personal identification number (11 digits) used for all official purposes in Poland — healthcare (NFZ), taxes, banking, social benefits, and public services. EU citizens can obtain PESEL via zameldowanie or separately at the Urząd Gminy/Dzielnica. Non-EU citizens receive PESEL after registering residence (Karta Pobytu). Essential — get this first.

Mandatory registration of your place of residence (meldunek) at the Urząd Gminy, Urząd Dzielnicy, or Urząd Miasta within 30 days of taking up residence. Required for PESEL, healthcare, voting, and many official processes. Two types: stały (permanent) and tymczasowy (temporary, for stays under 3 months).

Biometric residence card issued to non-EU/EEA citizens legally residing in Poland. Required for long-term stays. Grants access to employment, healthcare, and other rights. Applied for at the Urząd Wojewódzki (Provincial Office). Issued initially for 1–3 years; renewable.

Numer Identyfikacji Podatkowej — the primary tax number for businesses, sole traders (JDG), and the self-employed. Assigned automatically to natural persons based on PESEL. Businesses register separately through CEIDG or KRS. Required on all invoices and tax returns.

Statistical business identification number assigned by GUS (Central Statistical Office). Required for all businesses. Issued automatically during business registration via CEIDG (sole traders) or KRS (companies).

EU/EEA citizens can use their national ID card for residence and most purposes. Non-EU citizens require a valid passport. Carry a copy at all times; police can ask for ID.

Required for school enrolment, marriage registration, benefits applications (800+ child benefit). Foreign certificates must be apostilled and/or officially translated into Polish by a sworn translator (tłumacz przysięgły).

Required for joint tax filing, spousal benefits, visa applications, and property matters. Foreign certificates need apostille and sworn Polish translation. May need transcription (transkrypcja) into the Polish Civil Registry.

Needed for regulated professions (medicine, law, engineering) and qualification recognition. Must be apostilled and translated by a sworn translator. Recognition by NAWA (National Agency for Academic Exchange) may be required.

Registration with ZUS (Zakład Ubezpieczeń Społecznych — Social Insurance Institution) is mandatory for employers and self-employed. Employed individuals are registered by their employer. Self-employed must register themselves within 7 days of starting activity.

Confirmation of entitlement to public healthcare through NFZ (Narodowy Fundusz Zdrowia). Employees are enrolled via employer ZUS registration. Voluntary payers enrol directly with NFZ. EU citizens can use EHIC card for temporary stays.

Certificate from the National Criminal Register (Krajowy Rejestr Karny). Required for some employment positions, regulated professions, business licences, and residence applications. Obtained at KRK offices or online via ePUAP/e-KRK.

Required for zameldowanie, PESEL registration, and many official processes. Should be notarised or at minimum signed by both parties. For the purpose of zameldowanie, landlord must declare their consent.
